Please kindly read these terms and conditions carefully. On booking online or signing our booking form when making reservation over the phone or by email, you are deemed to have read and accepted our Booking Conditions, and are accepting the terms of these conditions on behalf of all persons in the party

These terms and conditions constitute an agreement with Merchant. By entering the site you accept these terms and conditions. The terms and conditions are subject to change at any time, and it is your responsibility to check these terms and conditions regularly in case there are any changes.

Continuing to use the site after a change has been made is your acceptance of those changes.

1. Room Package Rate

All room rates are quoted in United States Dollars (USD) and are net rates.

Room packages are based on a 5-night stay during the official WSC 2026 event period.

Rates are applicable only for bookings during the event, within period September 10th - September 16th, 2026

The package is specially offered for:

Students
Parents
Teachers
School representatives participating in WSC 2026
Organizing Committee of WSC 2026

2. Deposit and Cancellation Policy

Cancellation will be charged as follows:

More than 60 days prior to trip departure: No charge
60 days - 45 days before arrival: 50% charge
From 45 to 30 days prior to check-in: 75% of total rate
Less than 30 days prior to check-in: 100% of total rate
No show: 100% of total rate

3. Final Payment

Full payment is required at least forty-five (45) days prior to the arrival date.

For bookings made within forty-five (45) days prior to arrival, full payment is required immediately upon confirmation.

Although full payment is required in advance, refunds may still be applicable in accordance with the Deposit and Cancellation Policy stated above. Any refundable amount shall be calculated based on the applicable cancellation period at the time the written cancellation request is received by Vietnam TravelMART.

All bank charges, intermediary bank fees, telegraphic transfer fees, credit card processing fees, currency exchange differences, and other transaction-related charges are non-refundable and shall be borne by the Client/Agent.

For international bank transfers, all charges imposed by the sending bank and intermediary banks shall be paid by the Client/Agent to ensure Vietnam TravelMART receives the full invoiced amount.

Vietnam TravelMART reserves the right to cancel any booking and apply the corresponding cancellation charges if payment is not received within the required deadline.

4. Refund of Unused services

Unused accommodation, meals, transportation, or any other included services are non-refundable once the booking has commenced.

5. Voucher

Voucher will be issued by Vietnam Travel MART after the booked trip is confirmed and payment is completed.

A service voucher will be sent by email/fax to passengers.

6. Liability and Insurance

Vietnam Travel MART accept no responsibility for any loss, injury, damage or delay due to natural disaster, politic actions, weather or causes beyond its control.

Travel insurance and medical precautions are essential. Your travel insurance must provide cover against personal accident, medical expenses, emergency repatriation and personal liability. We strongly recommend that you take out travel insurance at the time of booking.

7. Confirmation

All confirmations are generally confirmed by return fax or e-mail within 2 working days. In case immediate confirmation is not possible, we will inform you of the booking status at the time of reservation.

8. Passengers’ Information

Client is requested to submit all passenger details at least 24 hours prior to check-in of passengers (Full name, Date of birth, Gender, Nationality, Passport number, Vietnam visa expiry date, Contact number).

9. Payment Instructions

To secure your booking, please send the payment by 1 of the 2 options below:

Option 1: Online Payment Gateway (ONEPAY)

We connect with OnePAY Payment Gateway to accept Online Card Payment (www.onepay.vn). All of your card information is processed through SSL protocol with international card security standards. Your card information will not be stored at our system (merchant) with international security standards. We will send you the link to fill in the form and you will make the online payment through steps.

Please note that all credit transactions will be proceeded without bank fee.

Be aware that our prices are not inclusive of transfer fees levied by your bank and oversea bank - please ask your bank to transfer the sum prior deduction or any shortfall.

We reserve the right to release part or full booking if the full payment is not completed as deadline.

Payment in Vietnam Dong is to be made equivalent to the amount in United States Dollars at the official exchange rate of the VietcomBank at the time of payment.

The booking is only confirmed when full payment is completed.

10. Privacy Policy

What personal information does Vietnam Travel MART collect and how is it used?

You are not required to provide any personal information to us unless you choose to make a purchase or sign up for one of our e-mail newsletters or other services. As a valid credit or debit card is required to make a purchase through the OnePay website.

Personal information collected during the booking process may include:

Full name
Contact information
Passport information
Payment information
Travel-related details

Such information will only be used for:

Reservation processing
Hotel arrangements
Operational coordination
Customer support
Compliance with local authority requirements

Vietnam TravelMART will not sell or disclose personal information to unauthorized third parties except where required by law, governmental authorities, hotels, or operational service providers related to the event.

By submitting a reservation, the client agrees to the collection and use of personal information for the purposes stated above.

11. Making a Purchase

In order to book travel with Vietnam TravelMART, you must provide us with certain personal information such as your name, credit or debit card number and expiration date, credit or debit card billing address, your telephone number, your e-mail address and the name or names of any person(s) traveling with you. We require this information so that we can process, fulfill and confirm your reservations and transactions and keep you informed of their status. If you are making a reservation for one or more other travelers, you will need to make sure that each of these other travelers agrees, in advance, that you may disclose their personal information to us. For your convenience, we make certain information about your reservation available to you or other persons authorized by you to receive such information

When you book travel with us, you must provide us with a contact telephone number. We will use that telephone number in the event that we need to inform you of changes or other matters that may affect your booking or trip, such as changes due to flight delays, inclement weather, and cancellations. We may use text messages to provide you with such updates. When you provide us with a mobile telephone number as the contact number for a trip, you agree that you are providing us with your express consent to receive calls or text messages from Vietnam Travel MART. related to your booking. If you do not wish to receive these trip updates on your mobile phone, please provide us with another telephone number.

12. Hotel Policy and Additional Notes:

Standard hotel check-in time: 15:00
Standard hotel check-out time: 12:00 PM
Early check-in and late check-out are subject to hotel availability and may incur additional charges.
As WSC 2026 is a large international student event, hotel availability in Da Nang may become limited closer to the event dates. Early booking is strongly recommended.
Vietnam TravelMART reserves the right to adjust room allocation, booking procedures, and operational arrangements when necessary for event operation purposes.

Room Occupancy:

Room occupancy shall be based on the maximum occupancy permitted by the hotel for each room category.

Additional charges may apply for:

Extra beds
Additional occupants
Child accommodation policies
Room upgrades requested by guests

Amendment Policy

Any request for amendment, including but not limited to:

Name changes
Room type changes
Occupancy adjustments
Stay date modifications
Special requests

must be submitted in writing to Vietnam TravelMART.

All amendment requests are subject to:

Room availability
Hotel approval
Operational conditions
Applicable additional charges

Vietnam TravelMART cannot guarantee that all amendment requests can be accommodated.

No-show policy

In the event that the guest does not arrive on the confirmed check-in date without prior written notice to Vietnam TravelMART, the reservation shall be considered a “No-show”, and 100% of the total confirmed booking amount shall be charged.

Hotel Conduct Policy

All guests are expected to respect hotel regulations, public order, and local cultural practices during their stay.

Any guest causing damage to hotel property, disturbance to other guests, or violation of hotel policies may be subject to:

Additional charges
Immediate cancellation of accommodation
Liability for damages caused

Vietnam TravelMART and the hotel reserve the right to refuse accommodation or services to any guest whose behavior is considered inappropriate, unsafe, or disruptive to event operations.

13. Travel Insurance

Vietnam TravelMART strongly recommends that all participants obtain comprehensive travel insurance prior to departure.

Travel insurance should include coverage for:

Personal accident
Medical expenses
Emergency medical evacuation
Trip cancellation or interruption
Personal liability
Loss or delay of baggage and personal belongings

Vietnam TravelMART shall not be responsible for any costs, losses, damages, or liabilities arising from the absence of adequate travel insurance coverage.

14. Force Majeure

Vietnam TravelMART shall not be liable for failure or delay in performing obligations due to circumstances beyond reasonable control, including but not limited to:

Natural disasters
Severe weather conditions
Epidemics or pandemics
Government restrictions
Political unrest
Airline disruptions
Transportation interruptions
Force majeure events

In such cases, Vietnam TravelMART reserves the right to adjust, postpone, modify, or cancel services without prior notice depending on operational circumstances.

15. Acceptance of terms and conditions

By submitting a reservation request, making payment, or using the booking link provided for WSC 2026 accommodation arrangements, the client acknowledges and accepts all Terms & Conditions stated herein.

These Terms & Conditions may be updated or revised by Vietnam TravelMART when necessary for operational purposes.

16. Special Event Conditions

As WSC 2026 is a large-scale international student event, hotel operations and room inventory may be subject to adjustment depending on the final event schedule, participant volume, and operational requirements.

Vietnam TravelMART reserves the right to:

Adjust room allocation arrangements
Modify room categories with equivalent standards when necessary
Coordinate alternative accommodation solutions in unforeseen operational situations
Amend transportation or operational procedures related to hotel arrangements if required for event management purposes

In the event of overbooking, operational changes, or circumstances beyond reasonable control, Vietnam TravelMART will make reasonable efforts to arrange equivalent alternatives of similar standard whenever possible.

17. Students & Minor Responsibilities

Students and participants under the age of 18 are required to travel under the supervision and responsibility of parents, legal guardians, teachers, or authorized school representatives.

Vietnam TravelMART shall not be responsible for:

Independent activities conducted outside the official event schedule
Personal behavior or misconduct of participants
Loss of personal belongings
Incidents occurring outside the scope of booked services

Parents, schools, and accompanying adults are responsible for ensuring that participating students comply with hotel regulations, local laws, and event rules during their stay in Vietnam.

18. Online Survey

Vietnam TravelMART values opinions and comments from members, so we frequently conduct online surveys. Participation in these surveys is optional. Typically, we collate the information we collect and use it to make improvements to the company service and to develop content, features and promotions for customers. Survey participants are anonymous unless otherwise stated in the survey.

19. Automatic Logging of Session Data

We automatically log generic information about your computer and your computer's connection to the Internet, which we call "session data". Session data consists of things such as device information, IP address, operating system and browser software information, and all the activities conducted by the user while using an IP address is a number that lets computers attached to the Internet, such as our web servers, know where to send data back to the user, such as the pages of the site the user wishes to view. We collect session data because it helps us analyze such things as what items visitors are likely to click on most, the way visitors are clicking through the site, how many visitors are going to various pages on the site, how long visitors to the site are staying and how often they are visiting. It also helps us diagnose problems with our servers and lets us better administer our systems. It is possible to determine from an IP address a visitor's Internet Service Provider (ISP) and the approximate geographic location of his or her point of connectivity.

20. Cookies

"Cookies" are small pieces of information that are stored by your browser on your computer's hard drive. Cookies allow us to serve you better and more efficiently. We use cookies to personalize your experience on our services. These types of cookies allow us to track certain things like your language preference and departure city etc. We may also use such cookies to display an advertisement to you focusing on destinations that we think you might be interested in.

Most web browsers automatically accept cookies. By changing the options on your web browser or using certain software programs, you can control how and whether cookies will be accepted by your browser. Vietnam Travel Mart supports your right to block any unwanted Internet activity, especially that of unscrupulous websites. However, blocking our cookies may disable certain features on our site and may make it impossible to purchase or use certain services available on the site. Please note that it is possible to block cookie activity from certain web sites while permitting cookies from sites you trust.

21. Third Party Services

We may allow you to access third party services, such as Facebook and Twitter, that enable you to share your selected Submitted Content with those services, and import information about who you are connected with on those other services so you can connect with them using our service. Some of those third-party services may also provide us with information from your accounts, and are there to enhance and personalize your use of Vietnam Travel Mart Service. For example, you can allow Facebook to tell us who your Facebook friends are so you can follow their activity. You can, at any time, adjust your Facebook settings to remove this feature, by changing your preferences on the site. You can also further modify your privacy settings with those other services directly.

22. Location-specific information

If you use our location-enabled products and services you may be sending us location information. This information may reveal your actual location, such as GPS data, or it may not, such as when you submit an address to look at hotel choices in that location. We use your location information to process and personalize your requests, such as by pre-filling the city name when you are searching for a nearby hotel. We also use location information for support, to develop new features, a better user experience and to improve the overall quality of Vietnam Travel Mart

23. Other

From time to time we may add or enhance services available using your data. To the extent these services are provided and used by you, we will use the information you provide to facilitate the service requested. For example, if you email us with a question, we will use information such as your email address, name and the nature of the question, to respond to your question. We may also store such information to assist us in making the service better and easier to use

24. What safeguards are in place to protect the loss, misuse or alteration of your information?

While no website can promise complete security, we have implemented administrative, technical, and physical security procedures designed to protect the personal information you provide to us. For example, only authorized employees are permitted to access personal information, and they may only do so for permitted business functions. In addition, we use encryption when transmitting your sensitive personal information between your system and ours, and we employ firewalls and intrusion detection systems to help prevent unauthorized persons from gaining access to your information.

25. What other information should I know about my privacy?

When using Onepay you may see links to third party web sites, applications and services. Please note that when you click on one of these links, you will be using another company's web site, application or service. Except as set forth herein, we do not share your personal information with those third parties, and are not responsible for their privacy practices. We encourage you to read the privacy statements of all such sites as their policies may be materially different from this Privacy Policy. Please be very careful, responsible, and alert with this information, especially whenever you're online.

In addition to the circumstances described above, we may disclose personal information if required to do so by law, court order, as requested by other government or law enforcement authority, or in the good faith belief that disclosure is otherwise necessary or advisable including, without limitation, to protect the rights or properties or its affiliated companies or when we have reason to believe that disclosing the information is necessary to identify, contact or bring legal action against someone who may be causing interference with our rights or properties, whether intentionally or otherwise, or when anyone else could be harmed by such activities.

Information about "phishing"

We do not and will not, at any time, request your credit card information or any other sensitive information in an unsecure or unsolicited e-mail or telephone communication. Identity theft and the practice currently known as "phishing" are of great concern to us. Safeguarding information to help protect you from identity theft is our priority.

This Privacy Policy was last revised on June 28th 2022. We may change or supplement this Privacy Policy from time to time. Any material changes in the way, we will use personal information will be described in future versions of this Privacy Policy. Privacy Policy changes will apply to the information collected from the date we post the revised Privacy Policy, as well as to existing information held by us.
